Qualifications

1-2 years of experience as a medical front desk coordinator

Responsibilities
•
As the Front Desk Manager, you will be responsible for overseeing the daily operations of the front desk area and ensuring exceptional customer service
•
Includes greeting all patients/clients, answering phone calls, assisting patients/clients with questions regarding spa services and Weight Loss Injection products, booking appointments, checking the patient into the computer system and charging for services performed
•
This role requires strong administrative skills, excellent organizational abilities, and the ability to coordinate multiple projects simultaneously
•
Ensure all client records and consents are filled out and up to date
•
(Patient Intake and specific consent forms) in EMR system
•
Knowledgeable of services and products we offer and can answer client questions
•
Evaluate chart data in Simple Spa and Optimantra to verify all information has been received and completed and obtain signatures
•
Provide detailed descriptions of Vitamin IV treatments, packages, services, memberships and hours of operation
•
Utilize medical and spa software and electronic medical records with skill and proficiency, Assisting NPs or RNs with tasks such as taking vital signs
•
Answer the phone promptly and is courteous throughout the phone conversation, Answer text messages as needed
•
Actively promote the spa, treatments, services, sessions and retail products, as well as programs, promotions and/or discounts available in Lead Fuel CRM
•
Handle patient/client questions and concerns professionally and courteously
•
Maintain a clean, safe, fully stocked and well-organized work area in mixing room
•
Develop the ability to work without constant direct supervision and remain at the assigned posts for extended periods of time
•
Maintain a positive attitude and contribute toward a quality work environment
•
Aid clients to enroll in third-party finance systems such as CareCredit & Cherry
•
Regularly attend, participate in, and support training and staff meetings
•
Assist in all areas of spa operation as requested by management
•
Communicate to management any and all occurrences involving staff or patients/clients in the spa that require attention
•
Manage inventory ordering of product receivables in Elijah Systems
•
Follow up with Micronutrient clients regarding specialty infusions and packages
•
Assist in the preparation of physician marketing materials of services for printing
